Media Consent & Image Use Policy

Hope of Youth uses photos, videos and other media to document, communicate and disseminate our projects, events, educational activities and social impact.

This Media Consent & Image Use Policy explains how we collect, use, share and manage photos and videos of participants.

1. Scope

This policy applies to photos, videos, audio recordings and similar media collected during or in connection with:

  • Events

  • Workshops

  • Trainings

  • Youth exchanges

  • Erasmus+ mobility projects

  • Seminars

  • Educational activities

  • Online activities

  • Dissemination activities

  • Volunteer or community activities

  • Partner or funder-related activities


2. Why we use photos and videos

We may use photos and videos to:

  • Document our activities

  • Promote our educational and social mission

  • Share project results

  • Report to partners or funders

  • Disseminate Erasmus+ or other project outcomes

  • Inform the public about our work

  • Create educational and informational materials

  • Support visibility of youth work and non-formal education


3. Where media may be used

Photos and videos may be used in:

  • Hope of Youth website

  • Instagram

  • Facebook

  • TikTok

  • Other social media platforms

  • Newsletters

  • Blog posts and news articles

  • Printed materials

  • Reports

  • Presentations

  • Erasmus+ dissemination materials

  • Partner or funder communication materials

  • Educational materials


4. Consent

Where required or appropriate, we request media consent from participants before using identifiable photos or videos.

Participants may choose whether or not to give media consent.

For minors, we request parent or guardian consent where required.

5. Refusal of media consent

Participants may refuse to be photographed or filmed.

Hope of Youth will take reasonable steps to respect refusal of media consent. However, in group events, public activities or large gatherings, it may not always be possible to guarantee that a person will never appear in the background.

Participants who do not wish to appear in media should inform the organisers before or during the activity.

6. Withdrawal and removal requests

Participants may request the removal of a photo or video where they are identifiable.

Removal requests should be sent to:

Requests should include:

  • The photo/video concerned

  • Where it appears, if known

  • The reason for the request

  • Contact details for follow-up

We will review removal requests and take reasonable steps to remove or limit future use where possible.

Please note that complete removal may not always be possible where media has already been printed, shared by third parties, included in official reports, reposted by others, archived, or used in completed dissemination materials.

7. Sharing with partners and funders

Hope of Youth may share photos and videos with:

  • Project partners

  • Sending or hosting organisations

  • Funders

  • Erasmus+ or other programme bodies

  • Communication teams

  • Media or dissemination partners

Such sharing will be limited to legitimate project, educational, reporting or dissemination purposes.

8. Minors

We apply additional care when using photos or videos of minors.

For minors, we may request parent or guardian consent and may limit the type of media used, the platforms where it is published or the information published alongside it.

We do not intentionally publish sensitive personal details of minors.

9. Respectful use of media

Hope of Youth aims to use photos and videos in a respectful, accurate and non-discriminatory way.

We will not knowingly use media in a way that humiliates, exploits, misrepresents or harms participants.

10. Participant media use

Participants must respect the privacy and dignity of others.

Participants may not publish photos, videos or private information about other participants without permission.

This applies especially to minors, vulnerable participants and private or informal moments during activities.
